The Collections Specialist primarily oversees the care and preservation of artifacts from the digital age for Computer Museum of America (CMoA). This person will also collaborate and assist with the education and display of artifacts. The ideal candidate will have experience in collections management, be extremely organized, and have a keen interest in preserving computing and technical items for future generations. This person will need to be available to work one weekend each month and be available for occasional evening events.

Essential Responsibilities:

Manage the care of the artifact, archival, and library collections:

  • Coordinate object deliveries and process incoming acquisitions, including cleaning and housing artifacts
  • Manage the museum’s PastPerfect database including creating and updating records for accessions, objects, archives, incoming and outgoing loans, as well as completing condition reports, tracking items on and off exhibit, and performing a rotating inventory
  • Actively monitor collection environments and security of collection facilities
  • Oversee collections volunteers, including mentoring college and graduate-level interns
  • Attend the weekly museum team meeting to keep staff apprised of collections projects

Assist with exhibitions by:

  • Providing Curator and exhibits team with artifact information as needed
  • Writing exhibit artifact labels
  • Preparing artifacts for display and assisting as needed with the installation and de-install of exhibits

Other Duties:

  • Create at least one social media post each week featuring artifacts from the museum collection
  • Work with the social media team to review social media posts on a weekly basis, providing editing and suggestions as needed
  • Schedule monthly collections team meetings with Curator and Executive Director, creating an agenda, and maintaining meeting notes
  • Coordinate with museum staff to reconcile received donations at the end of each month and maintain up-to-date records to provide collections information for the yearly audit
  • Assist with museum programming and events as needed
  • Respond to research inquiries and oversee scheduled research visits

Knowledge, Skills, and Abilities:

  • Proficient in Microsoft Office applications and Office 365 software
  • Some experience with PastPerfect
  • Ability to forge and maintain effective working relationships with a variety of individuals including representatives of public and private organizations, volunteers, vendors, museum staff, and the public
  • Ability to work accurately and efficiently and keep track of numerous projects simultaneously
  • Reliable and punctual
  • Strong commitment to equity and accessibility

Required Qualifications:

  • Bachelor’s or master’s degree in Museum Studies or equivalent field
  • Two years of experience in museum collections
  • Should possess a willingness to work as part of a team
  • Must be a self-starter, show attention to detail, and possess excellent organizational skills
  • Strong written and oral communication skills
  • Credit and criminal background check required including drug test

Physical Demands:

  • Moderate physical activity, requiring handling of objects up to 50 pounds
  • Windowless lab environment
  • Dust and grime with some incoming shipments
  • Standing and/or walking for up to eight (8) hours in a day
  • Working conditions include long periods of using a computer
